A shipping company based in Floriana is looking for an Office Manager. The company is a leading and reputable player in the shipping industry, with offices/operating branches in Naples and Augusta (Italy), London, Singapore, Malta, Buenos Aires, Philippines and Colombia.?

 Responsibilities will include:

  • Dealing with incoming calls and greeting visitors
  • Coordinating travel arrangements- booking of flights, hotels and taxis and keep updated records and reports thereof
  • Coordinating meeting set-ups and the smooth running of  internal meetings
  • Coordinating general office maintenance
  • Liaise with suppliers, clients and staff
  • Inventory control of office supplies including equipment, stationery etc
  • Maintain office daily requirements on maintenance, cleaning, health and safety.
  • Implement office policies (security, safety, etc.) by establishing standards and procedures
  • Manage and maintain the security and control of physical access to the office
  • Diary management and general admin for Senior Management
  • Handling of incoming mail including logging of legal contracts & documents
  • Procurement of office equipment, ensuring the office supplies are well stocked
  • Deal with the accounting and financial departments in relation to invoices, bank statements and bank records


  • Be service oriented with a positive “can do” attitude
  • The ability to organize and coordinate multiple teams and/or projects
  • Have excellent command of written and spoken English and proficiency with Microsoft Office products
  • Have a keen eye for detail
  • Have a proactive disposition and be capable of working on their own initiative whilst being a dedicated team player
  • Have a minimum of 2 years’ previous experience in a similar role
