Job Description

A well-established law firm is currently seeking an Office Admin to support the needs of the clients and colleagues.  

Job Description 

  • Greeting visitors, offering refreshments and dealing with incoming calls 

  • Handling of incoming / outgoing mail including courier services and registered mail 

  • Signing in and out of visitors 

  • Meeting rooms and boardroom bookings 

  • Assist with travel logistics including booking of flights, accommodation and taxis and keep updated records and reports thereof 

  • Assist with ordering of stationery supplies and office amenities 

  • Handling house keeping of both offices 

  • Opening and closing of the building Arriving at 07:45hrs, opening main door, turning on lights, redirect main phone to reception, turn on pc. Turning off all lights and equipment 17:30hrs and locking the main door in Old Bakery Street; 

  • Assist with the needs for the firm such as maintenance, IT and Health & Safety 

  • Scheduling and coordinating internal and external meetings and supporting company social and training events 

  • Assist with updating of sick records, attendance reports and general filing 

  • Coordinating the desk set-up of new employees 

  •  Dealing with HR Admin such as Jobs Plus and Tax forms. 

  • Any additional ad-hoc duties as assigned by management 

Job Requirements 

  • Previous experience in a similar role within the corporate environment 

  • Have an excellent command of written and spoken English with great telephone manner 

  • Proficiency in Microsoft Office products and google calendar 

  • Great attention to detail and highly organised, proactive individual, capable of working on their own initiative whilst being a dedicated team player 

  • Attention to detail 

  • Academic qualification is considered an asset. 

  • Qualifications and Experience 

  • 2 years’ experience in a similar role 

  • Fluency in English language
