Legal Administrator

Job Purpose

Acts as administrator supporting the Legal & External Affair department.

Key Accountabilities / Key Activities

  • Managing and tracking flow of contracts and agreements coming through the department
  • Filing of contracts, agreements, documents and correspondence
  • Scheduling of internal and external meetings
  • Keeping track of key departmental deadlines.
  • Raising and processing of Purchase orders, control of departmental expenses in line with budget
  • Organization of monthly departmental meetings and events and teambuilding activities
  • Calendar management of Head of Legal & External Affairs, securing meeting rooms, prioritization
  • Liaison and coordination with colleagues to help and support the management team in their day to day duties
  • Making travelling arrangements when and as required
  • Assists with other administrative duties related to the department when and as required
  • Upkeep of departmental policies and procedures, org charts and other reports required on a regular basis
  • Liaises Collaborates with the PA to the CEO and PA’s to the other members of the Executive Committee

Technical / Professional Expertise

  • Experience in an administrative function would be considered an asset
  • Minimum ‘O’ level standard in English, Mathematics and Maltese
  • Ability to work under pressure and meet deadlines
  • Excellent verbal & written communication skills
  • Familiarity with MS office computer skills or previous computer training
  • Fluent Maltese and English speaking is a must
