A well-established insurance company is currently seeking to recruit an office administration coordinator who will be reporting to the HR & Administration Manager and will be responsible for the on-going office administration duties.  

Job Duties  

  • Maintain and keep up to date: filing of correspondence, memos, e-mails, reports and other documents 
  • Monitor day-to-day administration, cleanliness and tidiness of offices and security of Company properties 
  • Keep records and track of daily maintenance of all assets of the Company and produce monthly reports accordingly 
  • Ensure that all maintenance agreement with suppliers are regularly updated and complied with any health and safety requirements 
  • Procurement of day-to-day office items for maintenance, cleaning materials, housekeeping and other supplies 
  • Dealing with suppliers on a regular basis for supply that effect the administration operations of the company 
  • Assist the Manager to maintain Health and Safety standards and systems for all areas of Company properties 
  • Prepare reports, presentations, memorandums, proposals and correspondence when necessary or as required 
  • Assists in the preparation of department budgets and expenses 
  • Assist the Manager in Health & Safety matters 
  • Assist the Manager in the various training activities organised by Management. 

Job Requirements 

  • Previous experience in administration   
  • Diploma/ Advanced Level of education   
  • Good Command of English and Maltese Language   
  • Able to multi- task and work well in a fast- paced environment
